Concilium Search is committed to protecting the privacy of our candidates, clients and website users. We safeguard all data provided to us and protect it within a secure environment. Data provided to us is used solely for the purposes described in our Privacy Policy below.

Concilium Search may collect your personal data through various means, including our website, electronic correspondence, by telephone or direct contact for the purposes of providing you with our services and/or information. In providing such services and/or information to you we will only use your personal data in accordance with the terms of the following statement.

What is personal data?

Personal Data is any information which identifies you as an individual. As an Executive Search and Interim Recruitment firm, Concilium Search processes personal data from our prospective and placed candidates/contractors, prospective and current clients, suppliers, employees, consultants and temporary workers in order to carry out our business activities.

For current and prospective clients, candidates and contractors, we process personal data in order to provide you with work-finding services. The legal basis for processing this data is legitimate interest. When necessary, Concilium Search may process special categories of personal data, but will only do so with an individual’s explicit and specific consent. In such cases, our legal basis for processing will be consent. Concilium Search will ensure this data is not used to discriminate against the individual.

How do we collect information?

Concilium Search collects information you provide us, via our websites, over the phone, in emails or in person.

Third Parties

Concilium Search collects information on prospective and current candidates and clients from public and third-party sources, such as job boards and networking sites with whom we have subscriptions, in order to assess suitability for our open vacancies. Information is also collected from referees, other candidates and clients.

Website

Concilium Search collects information from our users at several different points on our website. Concilium Search is the sole owner of the information collected on this site.

Registration and Vacancies
We request information from you on our online registration forms and applications for individual roles. Here you must provide contact details, information regarding the type of work you are seeking, your skills, qualifications and experience, which may or may not include your Curriculum Vitae. This information is used to enable us to provide you with work-finding services; the contact information provided is used to get in touch with you and will only be used for this purpose.

Cookies
We use cookies to monitor the effectiveness of our website and marketing. We also share information about your use of our site with our trusted social media, advertising and analytics partners. For more information please see our Cookie Policy.

When do we share your personal data?

Concilium Search and all Associated Persons will consult the candidate before submitting a profile to a vacancy. Concilium Search will share your information only in order to provide work-finding services.

Concilium Search will not share client information with our candidates without the client’s permission.

If Concilium Search’s business is sold or integrated with another business, you will be notified via email/on our website of any changes in the disclosure of your details. Your details may be disclosed to our advisers, purchasers and their advisers. Your details will be passed on to the new owners of the business.

In the unlikely event of bankruptcy, insolvency or liquidation, the database may be considered an asset and subject to third party transfer.

We may also release information relating to you to regulatory or law enforcement authorities, if required by law to do so.

If necessary, we may also share your Data with our Bank & Finance Providers.

We do not sell your personal data for any purpose.

Overseas Transfers 
Concilium Search may transfer the information you provide to countries outside the European Economic Area (“EEA”), including the USA. However, we will take steps to ensure adequate protections are in place to ensure the security of your information. The EEA comprises the EU member states plus Norway, Iceland and Liechtenstein. By submitting your data, you consent to these transfers for the purposes specified in this policy.

Concilium Search hosts its candidate database with Vincere, legal name ACCESS UK LTD certificated in adherence to the EU-U.S. Privacy Shield Framework as designed by the U.S. Department of Commerce and the European Commission. All information stored using Vincere is protected by stringent security measures, and compliant with GDPR.

Security

At Concilium Search we take security seriously. We take all standard security procedures to ensure the safety of your information.

Concilium Search operates a clean desk policy; all personal data kept on paper is locked away when not in use. All digital information is protected by strong passwords, virus checking, encryption and firewalls, with access limited to relevant employees.

We will regularly audit our procedures and security measures to ensure they are correctly implemented and effective.

Retention Policy

Your information will be retained for six years after our last provision of services or engagement with you. After this, it is our policy to retain your data only for as long as is necessary to fulfil any contractual or legal obligations.

Your Rights

You have the right to rectify any inaccurate or incomplete data.

You have a right to request copies of personal data held by us: requests for copies of information will be dealt with as soon as possible, and no later than within 28 days. If extenuating circumstances apply, this deadline may be extended for an extra two months and you will be provided with a notification and explanation of the delay.

You have a right to ask for Concilium Search to cease processing, to withdraw your consent to processing, or to have your data erased. Erasure requests will be complied with on a case by case basis in accordance with our legal obligations. A record may be kept of such requests in order to prevent your data being received again from a third party.

You have a right to ask for the cessation of direct marketing by us.

Complaints or Queries

Concilium Search tries to meet the highest standards when collecting and using personal information. We take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.

Notification of Changes

If we decide to change the way we process your personal data, we will post those changes on our website so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will notify users by way of an email. Users will have a choice as to whether or not we use their information in this different manner.
